Ledgerline bills monthly in arrears. This page explains when invoices are issued, how to pay them, what happens if a payment fails and how to manage billing details. Prices are in Plans and pricing.
The billing cycle
The billing period is the UTC calendar month. On the 1st of each month, Ledgerline issues an invoice for the previous month containing:
- The platform fee for the plan.
- Ledger entries above the included amount.
- Payout fees by rail.
- Any adjustments and refunds, for example for failed or returned payouts.
Invoices are in USD. The invoice, with a usage breakdown by day, is available under Settings > Billing and through GET /v1/invoices. A usage breakdown is also exported as CSV.
Payment terms
Invoices are payable within 15 days of issue (net 15). Two methods are supported:
| Method | Notes |
|---|---|
| Card | Charged automatically on the due date. A small card fee may apply depending on your card network. |
| ACH debit | Debited from the bank account you authorize in Settings > Billing. No extra fee. |
Scale customers can pay by wire against a purchase order under their agreement.
Failed payments
If a payment fails, Ledgerline retries automatically and emails the billing contacts on the account. The sequence:
- Day 0. The payment fails. We retry on days 3 and 5.
- Days 1 to 7: grace period. Your account works normally while you fix the payment method.
- After 7 days. Write operations are suspended: you can still read data, download statements and receive webhooks, but creating payouts, transactions and keys returns
billing_suspendedwith HTTP403. - After payment. Writes resume within minutes of a successful payment.
Funds in your ledger are never affected by a billing suspension. Pending payouts that were already submitted continue to settle.
Note
The seven-day grace period starts when the first payment attempt fails, not on the invoice date.
Billing contacts and tax
Add billing contacts, a legal entity name and a tax or VAT identifier in Settings > Billing. The details appear on the next invoice. Invoices already issued cannot be edited, but a corrected copy can be generated for the same period. Taxes are added where required by law, based on the billing address.
Usage during the month
Track running usage under Settings > Billing > Usage. It shows entries and payout counts to date, updated every hour, and projects your invoice. To be warned before you pass the included entries, create a usage alert at a percentage of the allowance.
Credits and refunds
- Failed, canceled and returned payouts are refunded in full as credits on the next invoice.
- SLA credits for downtime appear as a line item on the invoice for the affected month. See Status and incidents.
- Annual commitment discounts of 15% off the platform fee are applied to each invoice.
Disputing an invoice
Open a ticket within 30 days of the invoice date and include the invoice number and the lines in question. Disputed amounts are paused while we investigate. Undisputed amounts remain due.
Closing your account
You can close the organization in Settings > Organization once balances are zero and no payouts are pending. A final invoice covers usage to the closing date. Data is kept for the periods in Data residency and retention.
